Lawful Bases for Recruitment and Employment-Related Processing
QS Recruitment processes personal information using a number of lawful bases depending upon the nature of the processing activity being undertaken.
In many cases, processing is necessary in order to take steps at your request prior to entering into a contract or to perform a contract to which you are a party. This includes activities such as assessing suitability for vacancies, arranging assignments, administering placements and processing payments.
Certain processing activities are necessary in order to comply with legal obligations to which QS Recruitment is subject. This includes obligations arising under employment law, tax legislation, immigration requirements, health and safety legislation, anti-discrimination legislation and other regulatory requirements.
QS Recruitment also relies upon legitimate interests for a number of business activities, including recruitment administration, business management, workforce planning, service improvement, fraud prevention, information security, legal risk management and workforce analytics activities.
Where special category personal data is processed, QS Recruitment will identify an additional condition for processing under applicable data protection legislation.
Retention of Information
QS Recruitment retains personal information only for as long as is reasonably necessary to fulfil the purposes for which it was collected and to comply with applicable legal, regulatory and contractual obligations.
Retention periods vary depending upon the nature of the information, the services provided and the legal obligations applicable to the organisation.
Information relating to candidates and workers may be retained following the conclusion of an assignment or placement where this is necessary for legal compliance, record-keeping, dispute resolution, future recruitment opportunities or the establishment, exercise or defence of legal claims.
Workforce analytics information is periodically reviewed to ensure that it remains necessary for the purposes for which it is processed. Where information is no longer required, it will be securely deleted or irreversibly anonymised.
International Transfers
In the ordinary course of business, it may occasionally be necessary for personal information to be processed outside the United Kingdom.
Where personal information is transferred outside the United Kingdom, QS Recruitment will ensure that appropriate safeguards are implemented in accordance with applicable data protection legislation.
Such safeguards may include adequacy regulations, International Data Transfer Agreements, Standard Contractual Clauses or other lawful transfer mechanisms recognised under applicable law.
QS Recruitment will take reasonable steps to ensure that any organisation receiving personal information outside the United Kingdom provides an appropriate level of protection for that information.

Data protection legislation provides individuals with a number of rights in relation to their personal information.
Subject to certain limitations and exemptions, you may have the right to:
request access to personal information held about you;
request correction of inaccurate or incomplete information;
request deletion of personal information;
request restriction of processing;
object to certain processing activities;
request transfer of your information to another organisation;
withdraw consent where processing is based upon consent.
Where QS Recruitment relies upon legitimate interests as the lawful basis for processing, you have the right to object to that processing.
If you wish to exercise any of your rights, please contact QS Recruitment using the contact details provided within this Privacy Notice.
Automated Decision-Making
QS Recruitment does not generally undertake automated decision-making that produces legal effects or similarly significant effects in relation to candidates or workers.
Where technology is used to assist recruitment processes, meaningful human involvement remains part of the decision-making process.
Data Security
QS Recruitment takes the security of personal information seriously and implements appropriate technical and organisational measures designed to protect information against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or unauthorised access.
Such measures include information security policies, access controls, encryption technologies, staff training, supplier due diligence procedures and incident response processes.
Whilst no security measure can guarantee absolute protection, QS Recruitment seeks to ensure that personal information is handled in a manner appropriate to the nature of the information and the risks associated with the processing.
